Job Purpose
To be primarily responsible for delivering high-quality administrative support and assisting the Account Executive with client servicing within the Health and Employee Benefits division of our Broking team.
Success in this role requires a high standard of customer service when supporting health clients, a collaborative approach, and the ability to be proactive, hands-on and responsive to client needs. The role will also involve direct interaction with clients and taking the lead on client matters in the absence of the Account Executive.
Roles and Responsibilities
These are the key responsibilities of the job:
1. Health Administration
a) Responsible for the accurate and timely preparation and processing of all documentation relating primarily to health insurance policies, including new business, renewals and claims. Ensure all documentation is uploaded promptly and accurately to the CRM system (Acturis).
b) Provide exceptional customer service by responding promptly and professionally to client enquiries within the scope of the role. Resolve routine administrative matters where appropriate and refer more complex or technical enquiries to the relevant Account Executive.
c) Monitor outstanding documentation by maintaining a checklist of required information and following up with insurers or clients to obtain any missing documentation. Escalate outstanding matters to the Account Executive where necessary.
d) Prepare insurance documentation on behalf of the Account Executives, including quotations, invoices and other relevant documents, ensuring accuracy and completion within agreed service standards.
e) Support client visits and the onboarding of new groups, including providing face-to-face support and assisting with change management.
2. Client and Insurer Relationship
Your primary focus will be administration; however, you may occasionally be required to act as the main point of contact for a client account in the absence of the Account Executive. You will be expected to provide support by:
a) Maintaining positive client relationships through professional and effective communication, including face-to-face meetings, telephone calls and emails. Provide timely support and resolution to queries from clients and plan members.
b) Supporting a smooth and efficient renewal process, collaborating with other Account Executives involved in the client account where necessary.
c) Building and maintaining positive relationships with insurers through a professional, friendly and collaborative approach, ensuring these relationships support the needs of both the client and the wider team.
3. General Duties
a) When required, assist the wider team with general office and client-facing duties, including greeting clients, receiving payments, dealing with couriers and other related tasks.
b) Maintain an understanding of the local regulatory environment in which the company operates, including relevant AML/CFT/CPF requirements.
c) When required, visit insurers or clients to collect or deliver urgent information or documentation.
In addition to the above, you may be required to undertake any other related or reasonable duties as necessary to support the team and the wider business.
