Executive Assistant

 

You report to: COO
People who report to you: None

 

Job Purpose

To support all areas of the COO’s role, your initial focus will be in the area of Human Resources, but you should have an interest in diverse projects and a keenness to learn and develop in areas that are unfamiliar to you. You will enjoy both the detail of helping to develop policies and procedures, as well as the human interaction needed to successfully implement them. You will support the development of a small but growing team by providing effective office and HR administration. You will be based in Barbados but work closely with the Antigua office, ensuring alignment of policies and practices. You may be required to do some travel, but it is expected that this will be minimal.

 

Roles and Responsibilities

These are the key responsibilities of the job:

  1. Participate and take an active lead in the COO’s projects – this portfolio covers a variety of areas, for example IT, Compliance/AML, Corporate Governance and HR.
  2. To support the COO in the development and dissemination of company policies and procedures for all aspects of the business.
  3. Responsible for maintaining an accurate and up-to-date Employee Handbook, ensuring compliance with all relevant laws
  4. Daily focal point for staff – you will be responsible for recording absences, disseminating relevant information to the rest of the team, preparing working from home schedules, maintain holiday records, etc.
  5. Assisting with staff engagement – arranging team events and outings and being a barometer for when these events are required.
  6. Assist with recruitment and staff onboarding
  7. Responsible for the physical office environment – oversee service providers, maintain equipment maintenance schedules, workspace optimization, overseeing the general appearance, etc.
  8. Administrative duties on behalf of the COO, and President when required. Assist with the scheduling and management of meetings and company events, travel administration, minute taking, etc.
  9. Research, compile and prepare confidential and sensitive documents

In addition to the above you may also be asked to complete any other related or reasonable duties.

 

Knowledge and Qualifications Required

Desirable Essential
Higher education (beyond secondary school).  Professional training and development in HR would be desirable – demonstrates a knowledge of labour legislation X
Experience and understanding of effective HR administration and policies X
Experience of overseeing an office environment, knowledge of good solid administrative practices X
Knowledge and experience of Project Management would be an asset X
Excellent IT skills – in particular to have a highly proficient working knowledge of Microsoft Office X
Must be a qualified driver and car owner X
